Contract renewals, technician routes, and service history in the field.

The challenge.

The office ran on a diary and a stack of contract files. Every AMC had a start date and a renewal date written by hand, and someone had to remember to flip back through the pages to see which ones were coming up. When a technician picked up a job for the day, he took the address and the customer’s phone number and left. The service history, what was fixed last time, which parts were changed, and what the customer had complained about, stayed back in the files at the office or in the head of whoever had visited last.

So renewals got missed. A contract would lapse and nobody noticed until the customer called with a breakdown, and by then the renewal for that year was gone. Technicians reached sites with no information about the job. They redid checks that were already done last month, or missed the exact fault the customer had reported earlier, and the customer had to tell the whole story again. When a customer argued that a part was still covered, there was no quick way to prove it, and every missed renewal was lost revenue while every repeat visit for the same problem took a day that could have gone to new work.

Routes are planned around the day, so a technician’s stops are grouped by area instead of crossing the city twice. Before he reaches the site, the full service history is in his pocket: past visits, parts changed, and what the customer complained about last time.

For the owner, renewals stopped getting missed, and the year’s contract income is something he can see and count on instead of hoping the diary was up to date. Technicians arrive knowing the site, so they fix the right thing on the first visit and the customer does not repeat the same complaint. When a customer asks what is covered, the contract and the history are right there on the phone. The team spends less of the day driving and more of it on service, and the office is no longer chasing renewals it forgot about.
